Office 365 Plans and Pricing FAQ

Welcome! This FAQ will help you better understand the various Office 365 plans and pricing offered by OIT, as well as what sets them apart from other Microsoft product offerings that are currently available on the market.

What are the Office 365 Plans offered by OIT?

OIT currently offers three plans to faculty & staff: one is free and two are not free.

  • Office 365 Education (free)
  • Office 365 Education Plus (not free)
  • Office 365 ProPlus (not free)

What are the differences between them?

Office 365 Education is free to all faculty & staff*! You get a free 50GB email account and calendar on Office 365, 1 TB of cloud storage (OneDrive for Business), instant messaging (Skype for Business) and online versions of Microsoft Office applications.

  • It does NOT include a free copy of Microsoft Office that you can install on your computer or mobile devices.

*NOTE: Because of HIPAA guidelines, HS & School of Medicine users are not eligible for Office 365 Education because these email accounts are to be used for University business only, and not for personal use.

Office 365 Education Plus is not free and is only available to faculty and staff whose whole departments are enrolled in MCCA. You get everything in Office 365 Education (free email, calendar, cloud storage and instant messaging) including:

  • You can download full versions of Microsoft Office to a Mac or PC (either work or personal machines)
  • You can download mobile versions of Microsoft Office to a mobile device (iOS & Android)
  • You can install the software on up to 5 PCs, Macs, tablets, and smartphones

*NOTE: HS & Medical Center Users should contact the HS Help Desk at (714) 456-3333 and ask to put in a ticket to have a copy of Microsoft Office installed on your personal computer(s).

Office 365 ProPlus is not free and is available to faculty & staff whose whole departments are NOT enrolled in MCCA. This is an individual subscription that covers a single user: you! You get everything in Office 365 Education (free email, calendar, cloud storage and instant messaging) including:

  • You can download full versions of Microsoft Office to a Mac or PC (either work or personal machines)
  • You can download mobile versions of Microsoft Office to a mobile device (iOS & Android)
  • You can install the software on up to 5 PCs, Macs, tablets, and smartphones

How do I sign up for Office 365 Education?

Full-time staff & faculty are eligible to sign up for Office 365 Education. Ideally, we recommend partnering with your local IT support first for guidance (as they can submit the request to OIT on your behalf and work with you after the account is created).

However, if your department does not have local IT support, simply send an email to oit@uci.edu for assistance. We’ll open a ticket to get you started, and we’ll notify you via email when the account is ready!

If you’re unsure if you have local IT support, that’s ok too. Just send us an email and we’ll guide you through the process.

How do I sign up for Office 365 Education Plus?

There are two ways to sign up for Office 365 Education Plus.

  • If your department is enrolled in MCCA, you’re already signed up! You can download the software by following the instructions here. Unsure if your department is enrolled? Please partner with your local IT support or check out the table in the next section called “What is MCCA and which departments are enrolled?
  • If your department is not enrolled in MCCA, OIT can work with your local IT support and Business Office to get your entire department enrolled in MCCA. All payments are handled through SHI Corp., the University’s contract software reseller, and coordinated by OIT.
    • The cost is $17.76/person/year to enroll your department in MCCA, but it needs to cover everyone in your department.

Note: Departments wishing to enroll in MCCA can also obtain licenses for the Windows Enterprise Edition operating system (in addition to Microsoft Office) for an extra fee. If your department is interested in this option, please let us know in your email.

What is MCCA and which departments are enrolled?

MCCA is a department-wide annual leasing leasing program for Microsoft software based on headcount. Below are the participating departments as of February, 2015. Contact your unit's Computing Support desk for more information.

How do I sign up for Office 365 ProPlus?

Office 365 Pro Plus licenses are annual named user subscriptions that must be coordinated through your department’s business office or computing support desk. Have your local IT support and/or Business Office send email to oit@uci.edu to get started. OIT can work with your local IT support and Business Office to set up your individual account. Departments make payments directly to SHI Corp. Subscriptions must be coordinated with OIT to ensure the correct accounts are created, and then renewed annually each February.

  • The cost is $21.84/year per individual subscription.

Where can I find more info about these various Office 365 plans?

Microsoft has a wealth of detailed information about these various Office 365 plans on their website.

What if I want everything except the Office 365 email account?

Some users want to keep their email where it is. That’s fine! Keep using your ES Mail, UCI Gmail etc. and when you’re ready to switch to Office 365, send us an email and we will work with your local IT support to change your email delivery point.

I've heard of a program called Microsoft Office 365 University. Is it the same as Office 365 Education Plus?

No. Microsoft Office 365 University is a 4-year subscription available to students, faculty and staff that is sold by Microsoft and NOT supported by OIT.  It is a worthwhile option to consider for some individuals because it costs $80, which works out to be slightly less expensive ($20/year) than an individual subscription to Office 365 Education Plus (~$22/year).

However, a couple of important things to keep in mind:

      • This is a personal subscription from Microsoft that is owned by you and NOT maintained by OIT.
      • In the event you were to accidentally delete any data from your Microsoft Office 365 University account, OIT would be unable to assist because we don’t have access to that data.

I just want buy a copy of Microsoft Office without a subscription, that I own indefinitely. How do I get it?

You can still buy a physical or digital copy of Office (aka ‘perpetual license’) a few different ways:

      • From the UCI Bookstore. The staff/departmental licenses are Microsoft Select licenses resold from SHI below.
      • From any online vendor (Amazon, Newegg, etc).
      • You can purchase it through the Microsoft Select Program on the SHI website. SHI has a UC-systemwide agreement to sell discounted software to all of its campuses. Send an email to oit@uci.edu if you have questions about this option.

I'm a student. Can I get a copy of Microsoft Office for free?

Yes you can. The Microsoft Office 365 Pro Plus – Personal Use program allows currently enrolled students to get a free copy of Microsoft Office to use on their personal computers. They can visit this site for information and instructions.
