UCI Office 365 Mobile Configurations

Note: If you need help setting up your email on a computer (PC or Mac), view these instructions instead.

We recommend using one of the following supported mail clients:

  • iOS: You can continue to use the native Mail app, but if you run into any issues we recommend downloading the Outlook Mobile app which is available in the Apple App Store. The Outlook app is very similar to the desktop version and is a great alternative.
    • NOTE: Apple provides software support for iOS devices manufactured within the past 7 years. As of 2021, if your device is older than the iPhone 6s and running at least iOS 11, you must use Outlook Mobile.
  • Android: Older devices may not work with Duo so you may need to download the Outlook Mobile app from the Google Play Store.
  • Group UCInetIDs only work with the Outlook Mobile app on either iOS or Android. Please refer to the Outlook Mobile tab for more instructions on how to add a Group UCInetID Exchange account to Outlook Mobile.

iOS

Set up UCI Office 365 on an Apple iOS device

Note – Remote Wiping of Phone Data. Recently, Apple implemented a warning in iOS when adding an Exchange account that your device may be remotely wiped by your device administrator. Even though this feature may be available on your phone, OIT does NOT have a policy in place to permit Exchange administrators with the ability to remote wipe the data on a mobile device.

Follow the instructions below to help you set up your UCI Office 365 email, calendar, contacts and task management account on iOS. Note: If you are a Health Sciences Exchange user, do not use these instructions. Instead, please contact the HS Help Desk at 714-456-3333 for support.

  1. Under the Settings app, select Mail and then select Accounts.
  2. Select the Add Account option on the screen.
  3. Select Microsoft Exchange.
  4. Enter your Email address in this format: UCInetID@ad.uci.edu. Feel free to change the Description from “Exchange” to whatever you want.
  5. A popup window will appear asking if you want to Sign In to your ad.uci.edu Exchange account using Microsoft. Choose Sign In.
  6. You’ll be taken to the UCI Office 365 sign in page, where your username in the format UCInetID@ad.uci.edu will be pre-filled. Simply enter your Exchange email password and then tap Sign In.
    • If you are unable to sign in to the page, check that your cookies are enabled for Safari (Settings > Safari > “Block All Cookies” is turned OFF).
  7. You’ll then be taken back to the setup screen where you’ll have the option to turn certain Exchange services (such as Mail, Contacts, and Calendar) ON or OFF. We suggest leaving everything ON, but it’s up to you.
  8. Tap on the Save button to complete the setup.

You can now open up the Mail or Calendar apps to see your email and calendar. You may need to wait a few minutes after you set up your account before you can send or receive e-mail.

Removing your Account from your iOS device

  1. Under the Settings app, select Mail and then select Accounts.
  2. Select the account labeled Exchange.
  3. Tap the Delete Account button at the bottom.

Android

Set up UCI Office 365 on an Android device

Follow the instructions below to help you set up your UCI Office 365 email, calendar, contacts and task management account on Android. Note: If you are a Health Sciences Exchange user, do not use these instructions. Instead, please contact the HS Help Desk at 714-456-3333 for support.

Note – Remote Wiping of Phone Data: Some phones “may” offer an option to allow the user to activate a “device administrator.” This option includes the capability on the part of the administrator to Remotely Erase all the Data on the Phone. Even though this feature may be available on your phone, OIT does NOT have a policy in place to permit Exchange administrators the ability to remote wipe the data on a device, and we do not honor these requests at this time. The security warning is simply a result of features Microsoft ActiveSync and the phone manufacturer attempt to support.

Some Android users may see slightly different menu options when configuring their devices. The settings below have been tested on Google Nexus & Samsung devices.

  1. Tap the Settings app on the phone.
  2. Tap Accounts.
  3. Swipe down and tap + Add Account.
  4. Tap Exchange (Some users may see it listed as Microsoft Exchange ActiveSync).
  5. Enter your Email address in the format UCInetID@ad.uci.edu and then tap Next.
  6. Enter your Exchange Password in the Password field and then tap Next. (Note: this password may be different than your UCInetID password. You can test your UCInetID and password at outlook.com/uci.edu if you are uncertain). If you’ve forgotten the password, call the OIT Help Desk.
  7. Select Sign In. Some Android devices will auto-configure at this point; however, some Android devices need to enter the Server information manually, so swipe down and edit the Server field to read outlook.office365.com and then tap Next.
  8. Tap OK in the Remote Security Administration window that appears.
  9. Tap Next to create the account.
  10. Tap Activate at the bottom of the Activate Device Administrator window.
  11. Edit the Account Name field (this is optional) and then tap Next to complete setup.

Outlook Mobile

Set up Outlook Mobile on your mobile device

OIT recommends the Outlook Mobile app as it fully supports Microsoft’s ‘modern authentication’ protocols and provides a similar experience to the desktop and web versions of Outlook on PCs and Macs.

  1. From your device, download the “Outlook Mobile” app from your device’s app store.
  2. Launch the app.
  3. When prompted, type your full UCI email address (e.g. “panteate@uci.edu”) and press Add Account.
  4. Outlook will redirect you to the UCI Office 365 login screen and will populate your full UCI email address in the user ID text field.  Delete the “@uci.edu” component from the user ID text field (leaving just your UCInetID), and then type in your Office 365/Exchange password.
  5. Press Sign in.
  6. Press Maybe Later.
  7. Swipe through the tutorial screens until you see your Inbox.

Add a shared mailbox to Outlook mobile

If you use Outlook for iOS or Outlook for Android, you can add a shared mailbox you have permissions to access on Outlook Mobile. To access a shared mailbox on a mobile device, use the following steps.

  1. Sign in to your primary account in Outlook for iOS or Android.
  2. Tap the Add Account button in the left navigation pane, then tap Add a Shared Mailbox
  3. If you have multiple accounts in Outlook Mobile, select the account that has permissions to access the shared mailbox. 

After the account setup process completes, the shared mailbox will display in your account list in Outlook for iOS or Outlook for Android. 

NOTE: If you receive the following error message:

“Authentication Failed: That didn’t work. You may not have the right permissions to add this mailbox or this mailbox doesn’t exist.”

You will need to wait 24 hours for changes to sync. Unfortunately there’s no way to expedite this process.

To remove a shared mailbox, go to Settings Accounts. Then tap on the shared mailbox and select Delete Account
