WebPAN Archive Moving to KSAMS (UCInetID Login Required) Starting November 9, 2019

The processes for logging into and managing user access to the WebPAN (Web Post Authorization Notification) Archive application will be changing soon. UCI’s legacy Security Access Management System (SAMS) will soon be decommissioned as part of our transition to UCPath. As a result, the WebPAN Archive application must be migrated to the Kuali Security Access Management System (KSAMS) on Saturday, Nov. 9.

At the same time, WebPAN Archive will also transition to UCI’s web-based UCInetID. A new link to the application will be added in Zot Portal, and users will no longer need to use their UCOP login credentials. These change will not introduce or remove any of the existing functionality in WebPAN Archive. Please note however that this is only for archived data. UCPath will not use the WebPAN Archive tool.

Managing WebPAN Archive Access

After the migration, Departmental Security Administrators (DSA) will be able to manage access to WebPAN Archive in KSAMS. There will be two roles to access the tool:

  • WebPAN Archive Central Office Viewer – no qualifiers needed
  • WebPAN Archive Departmental Viewer – assigned by 6-digit PPS Home Department

OIT will automatically setup access in KSAMS for all existing WebPAN Archive users. Further, the existing version of WebPAN Archive will be kept online until UCPath go-live in December to allow users time to transition over.


The Payroll & Personnel System (PPS) is the campus payroll system and is used to manage campus personnel. The system is typically accessed via MochaSoft (an application installed on your computer), but it can also be accessed through WebEDB in Zotportal.

Only those users who've been given access by their DSA (Departmental Security Administrator) can access the system. If you're unsure if you have access, use the SAMS link above. To request access, speak with your DSA or supervisor. The Help Desk cannot grant access to PPS.

I'm getting the error 'Payroll Personnel System ABEND'. What does that mean?

If you're getting an ABEND error, that means your PPS session with UCOP has crashed and needs to be terminated.

Here's how to resolve the issue:

  1. Quit the MochaSoft application by clicking on the red X in the upper-right-hand corner, and then reopen MochaSoft.
  2. When you log back in with your IR login and password, type a T instead of an S to Select the CICSPP9 Irvine Prod. The T will takedown (or terminate) the previously-crashed session.
  3. Then type an S next to CICSPP9 Irvine Prod to start a new session.

I can't log in to PPS. I'm getting the error 'cannot create a connection to the selected host'.

This issue occurs rarely but almost exclusively affects users in HS/UCIMC.

The user should restart their computer to see if that quickly resolves the issue; if not, then they should call the HS HD for support. Their number is 714-456-3333 & email is ndchelp@uci.edu.

The reason why they should speak to the HS HD is, all of their network traffic is routed through proxy servers before connecting to UCOP (the Office of the President in Oakland where the PPS mainframe is located). From time to time, the proxy servers lose the connection to UCOP and need to be restarted. Once they are, the issue is resolved.

What KSAMS roles should I request to access the WebPAN Archive?

Please speak with your manager and/or your DSA, as they will know which of the following two roles you'll need to perform your job.

  • WebPAN Archive Central Office Viewer – no qualifiers needed
  • WebPAN Archive Departmental Viewer – assigned by 6-digit PPS Home Department

What is the WebPAN Archive?

The WebPAN (Web Post Authorization Notification) Archive is a database where certain users can search for messages that were automatically sent by the legacy PPS system whenever a change was made to an employee's payroll information. For example, when a PPS user changed what account & fund was used to pay an employee's salary, a notification was sent to a select group of people to let them know the change was made.

Individuals who used to receive these notifications will no longer get them after UCPath goes live, as the database will be converted to read-only after go-live (and UCPath will handled these kinds of notifications differently in the future). The WebPAN archive is a historical record of notifications that were sent prior to UCPath. There are no plans to migrate this legacy info to UCPath, which is why the Archive will continue to exist. Think of the Archive as a web 'inbox' where messages can be viewed, but not deleted.

Is PPS or the WebPAN Archive going away completely after UCPath goes live?

No, but no new information will be added to either system and access will be restricted, as UCPath will be replacing these systems after it goes live in 2020.
