How to migrate from Webfiles to Microsoft Office 365 OneDrive

IMPORTANT - Protecting Data

Please read the section regarding protecting P3 - P4 data from leaving the organization.

Group Accounts

Everyone with a UCI Office 365 account has access to an individual OneDrive account. To request a group account for business processes that require multiple people to access shared departmental data, please create an Incident in ServiceNow. Guidance on using group accounts is provided below.

Export Webfiles and Import to OneDrive

Note: The instructions below show how to export and import all files from Webfiles to OneDrive.  Consider only moving and re-sharing files and links that are needed.

  1. Log into Webfiles: https://webfiles.uci.edu/
  2. Select all files (top left checkbox).

  3. Select More Actions > Save to Zip File.

  4. A Zip file will be downloaded to your computer and named (ucinetid.zip).
  5. Navigate to the download location and extract the zip file (right-click, extract all). The contents of the zip file will be placed in a folder.
  6. Upload the folder to OneDrive using a web browser. (Web upload tested with Chrome / Firefox browsers).
    1. Sign in to the OneDrive web app: https://ucirvine-my.sharepoint.com/
    2. Drag / drop the extracted folder into your browser.

Congratulations, your data migration is complete! Your file-sharing links are not migrated from Webfiles to OneDrive. You will need to re-create links and share them using the guidance below.

Examples of different link types

Review sharing links for a file or folder and revoke unneeded links

It is important to remove sharing links that are no longer needed. To review the sharing links for a file or folder, click on the details pane icon in the top right:

In the details pane, click on Manage access

This will display all the sharing links. In this example, there is an Anyone link with view access, an Internal link with edit access, a Specific link with edit access, and a Specific link with view access.

In addition to “Links giving access”, there is also a set of permissions called “Direct access”.  Users are advised not to use these permissions to share files.  Use only sharing links, not Direct access permissions.

Manage access

To revoke a sharing link, click on the ellipsis next to the link and click the X to remove the link:

For Specific People links, you can remove individual users while still preserving the link for others to use:
