Adobe Software

OIT is proud to announce that Adobe software is now available for free to enrolled students, current employees and their guests/sponsored accounts. This was made possible through a new centrally funded licensing agreement with Adobe.

If you already have a license from OIT, you don't need to do anything. We have imported your license into our new web store (hosted by Kivuto) so it's already valid through July 2021.

Select the appropriate link below to obtain a license for either Adobe Acrobat Professional OR Adobe Creative Cloud, which is the entire suite of Adobe products. You'll be prompted to sign in with your UCInetID and password when placing an order, and you'll receive a confirmation email with instructions on how to start using the software.

If you just need an application to view and edit PDFs, choose Acrobat Pro but if you require the other apps like Photoshop & Premiere for your coursework, research, or instructional purposes, choose Creative Cloud.

College of Health Sciences and UCI Medical Center employees cannot obtain a license through our web store because UCI Health maintains a separate licensing agreement with Adobe. Please contact the HS Help Desk at (714) 456-3333 or open a ticket with UCI Health to request a license.

Your license is valid through the duration of our licensing agreement which is July 2021, and when the time comes to renew, you'll receive an email with instructions. The ordering and renewal process each takes about a minute.

Please note that we have a limited supply of licenses, so please order a license only if you need it for your coursework, research, or instructional purposes. In addition, not every product offering from Adobe is available.

IMPORTANT NOTES FOR USERS BASED IN CHINA: Please refrain from storing any files in Adobe Document Cloud due to privacy reasons. While the feature is currently enabled by default, we are working with Adobe to disable it in the near future. You'll be notified when the time comes.

How do I get a license?

  1. Select the appropriate link above to access the Kivuto Cloud web store.
  2. Click the "Add to Cart" button.
  3. You will then be prompted to sign in with your UCInetID and password.
  4. When you return to the Kivuto Cloud web store, select the shopping cart icon in the top right (there should be a (1) next to it).
  5. Select the "Check Out" button to complete your order.
  6. On the Order Confirmation page, select the "Click here to get started" link and follow the instructions (essentially you will be instructed to go to another web page to start the downloads & activation process). You'll also receive an email shortly with these same instructions.

I already have a license from OIT. Do I have to do anything?

No! We have imported your license into Kivuto so it's already valid through July 2021.

You'll receive an email with instructions on how to renew when the time comes. The renewal process takes about two minutes.

I didn't get my order confirmation email.

Check your junk and spam folders or search your inbox. It's possible the message was moved after it arrived. If you can't find it, no worries: simply follow these steps.

  1. Select the Adobe link in the section above to return to the Kivuto web store.
  2. Select the Sign In link in the top right.
  3. Once you're in, you're name will appear in the top right. Select it and choose Your Account/Orders.

I'm having trouble placing an order.

The most common reasons why you may be having trouble are below.

  • There are two links to choose from: one for Faculty, Staff, and Guests and one for Students. Choosing the wrong link will result in an error.
    • Employees & Guests who incorrectly select the "Students" link will get the error "Your eligibility has expired. Please renew your eligibility." This is because students are only eligible as long as they're currently enrolled.
    • Students who incorrectly select the "Faculty" link will get the error "This product is available only to certain user groups. To view the eligibility restrictions, click here. To request eligibility to order this product, click here". This is because the pool of licenses for students is separate from the pool for everyone else.
    • There are separate links because there are separate license quotas, and we must track each license type carefully. This cannot be changed, so please choose the correct link.
    • If you select the wrong link, there should be an option on the page to choose the other available license. If you don't see it, come back to this page and choose the other link.
  • College of Health Sciences and UCI Medical Center employees and their guests cannot place orders through the Kivuto web store. UCI Health maintains a separate contract with Adobe. Please partner with the HS Help Desk for help with getting a license. Their number is (714) 456-3333.
  • If you're already licensed for one product (say, Acrobat Pro) and you try to get a license for Creative Cloud, it'll fail with an error telling you that you can't have both. Send us an email to oit-licenses@uci.edu and tell us why you need the new license and we can help you out.
  • If you attempt to order a 2nd license for Creative Cloud, you'll get the error "You have already ordered this product (or a related product) the maximum number of times permitted. To view your previous order(s) for the product, click here. To view eligibility restrictions on this product, click here. This is because you're already licensed for an Adobe product and the system will only let you order one product.

If you're having trouble for some other reason, try using another web browser. If the issue persists, email oit-licenses@uci.edu with a screenshot and a description of the problem.

Why is there a separate link for students?

Our agreement with Adobe includes a limited number of licenses that must be shared equally between students and everyone else. To help us track licenses, we've established separate license quotas for students.

I already have the software installed, so I just need a license.

Upon completion of your order, we will email you instructions on how to sign in and start using the software. You can skip the section about installing software.

Why do I have to choose between Acrobat Pro & Creative Cloud?

Acrobat Pro comes with Creative Cloud so you don't need to order both; in fact, the system will not let you order both.

If you simply need an application to view and edit PDFs, choose Acrobat Professional but if you require the other apps like Photoshop or Premiere for your coursework, research, or instructional purposes, choose Creative Cloud. We have a limited supply of licenses so please only choose what you'll need.

I use a computer that is managed by OIT, but the software isn't installed.

Upon completion of your order, we will email you instructions on how to sign in and start using the software. The instructions contain a link to a page showing you to use our BigFix Portal service to request the software to be pushed to your computer.

Is it safe to upload P3 or P4 data to Adobe Document Cloud?

No. UCI does NOT have an agreement in place with Adobe to store sensitive and restricted data in Document Cloud. If you have a Microsoft Office 365/Exchange account, please store P3 and P4 data there instead.

If you're unsure what constitutes P3 or P4 data or which cloud service you should use to store sensitive files, please consult the data classification section of the OIT Security website or partner with your local IT support.

Can I swap out my Acrobat Professional license for Creative Cloud?

Yes. If you are an Adobe VIP customer who already has a license for Acrobat Professional only, you can order a Creative Cloud license. Periodically, we will review who has what license and if we see that someone has a Pro & Creative Cloud license, we will revoke the former.

How long can I keep the license, and how do I renew it?

Your license is valid through the duration of our licensing agreement which is July 2021. One week before the expiry date, you'll receive an email asking if you still need the license. Follow the steps outlined in the email to renew.

The process should only take a minute or two. If you do nothing, the license will be revoked but you can always go back to the Kivuto web store and order a new one.

When I leave the University, can I keep the license?

No. Periodically OIT will review who has a license and will revoke licenses of former students, alumni, separated employees, and their guests.

It's imperative we do this because of the limited number of licenses available to the campus.

Please remember to save any assets (aka your files) you may have uploaded to Adobe Document Cloud when you leave UCI. Adobe recommends that former students user their "Student Asset Migration" tool located at https://graduation.adobe.com which will allow you to migrate your files to a new personal Adobe account. They are currently offering a free 4-month trial of Creative Cloud. Once you start the migration, you’ll receive an email with a redemption code. Former employees and guests should login to https://documentcloud.adobe.com and download your assets directly to your computer. OIT will notify you via email when your license is scheduled to be revoked. We cannot guarantee when your account will be permanently deleted, so please migrate or download your data before you leave UCI or shortly thereafter.

Can I use this license on more than 2 computers?

Our license agreement allows you to run the software on only two machines. If you attempt to activate the license on a 3rd machine, you'll be prompted to deactivate the license on one of the other machines.

Does the Creative Cloud license come with Adobe Stock and Captivate?

No. Those products must be purchased separately and are only available to faculty & staff. If you'd like a quote, please send an email to oit-licenses@uci.edu along with a KFS account number so we can recharge your department.

I'm getting the error 'You don’t have access to manage apps. Permission from your IT administrator may be required to enable apps management'.

If you receive the error “You don’t have access to manage apps. Permission from your IT administrator may be required to enable apps management” in your Creative Cloud Desktop app, follow these steps:

1. Locate the ServiceConfig.xml file:
Windows: C:\Program Files (x86)\Common Files\Adobe\OOBE\Configs\ServiceConfig.xml
macOS: /Library/Application Support/Adobe/OOBE/Configs/ServiceConfig.xml

2. Move/Copy the file to the Desktop

3. Open the ServiceConfig.xml using Text Edit for mac or Notepad for Windows.

4. Replace wherever you find "false" with "true" and make the change permanent by saving the file.

5. Move this file to the same location where you copied it from and replace the original file.
Windows: C:\Program Files (x86)\Common Files\Adobe\OOBE\Configs\ServiceConfig.xml
macOS: /Library/Application Support/Adobe/OOBE/Configs/ServiceConfig.xml

6. Reboot the computer

7. Launch the Creative Cloud Desktop Application to find the Apps panel.

What happened to the previous Adobe VIP agreement?

The new Adobe Enterprise Term License Agreement (ETLA) supersedes the previous agreement. Individuals who are using either Acrobat Pro or Creative Cloud under the VIP agreement can obtain a new license through the ETLA agreement when your current license expires.

My license for Creative Cloud about to expire.

If you did not receive an email, simply select the link above to obtain a new license for Creative Cloud.

NOTE: VIP users who recently purchased licenses for Creative Cloud should know that once your licenses expire under the previous VIP agreement, you can simply get a new license under our new ETLA agreement.

You will need to sign out and sign back in to Creative Cloud when you get the new license.

Is the new license agreement with Adobe permanent?

No. This agreement was made possible through funding that may not be available each year. Should we decide to end the agreement, we will notify our users of the terms of our new licensing agreement.
