OneDrive Cloud Migration Project

Quicklink(s)

Your files are moving to the cloud! We have started migrating select OIT-managed clients to Microsoft OneDrive. Files and folders stored on your computer will now be housed in a more secure and user-friendly environment. Make sure you are syncing your files to prepare for the move!

What is Microsoft OneDrive?

Microsoft OneDrive is online storage space in the cloud. OneDrive has been approved for use for UCI data by UCOP and the UCI Information Security team, when appropriate file sharing protections are used. All UCI Microsoft Office 365 users have access to 5tb of storage in Microsoft OneDrive.

How does this change my day-to-day?

The short answer is, it probably won’t. Most of the work will be happening behind the scenes, without you even knowing it. Staff working from home or away from a campus network currently have to connect to the VPN and manually sync their files to the server in order to back up their work and prevent data loss. This migration to the cloud eliminates the need for that manual process in the future, ensuring your files are always securely backed up at all times. After your files move to the cloud, you will be able to save and access files from your computer the way you always have.

For those who collaborate with others on files, the new features will allow for greater flexibility in real-time collaboration when you’re working on docs via the online portal. This may alter your current collaboration process, but we’re confident the small learning curve will be worth the added benefits.

How should I prepare?

To prepare for your scheduled migration, it’s important to periodically sync your files (back them up). We will ask you to sync your files weekly (see quicklink above), to ensure all files are moved properly. You will begin seeing a pop-up message on your computer notifying you if you’ve gone longer than seven (7) days without backing up (syncing).

Goals

  • Increased Security – Microsoft OneDrive provides tools for logging and auditing access to important information that is beyond the capability of our current tools.
  • Automatic Backup + Protection – After the migration, you’ll no longer have to worry about backing up your local files, as this will begin happening automatically. Storing files in the cloud ensures you won’t lose local files due to your computer crashing (or being run over on an especially unlucky day).
  • Easy Access – Instead of accessing your important files through the VPN, you can easily access them through any device connected to the internet.
  • Secure Collaboration – OneDrive makes it easy to share your files and collaborate with your colleagues in real time.
